Job Title: Billing and Accounts Specialist

Status: Full Time

Hourly Rate:  $20-$24/hr depending on experience

Location:  In-office located in Annandale, VA

Premier Pediatric Therapy Source is a growing, therapist-owned private practice that provides Occupational, Physical, Speech and Nutrition services to children birth to 18 years within family homes, Telehealth, as well as in our state-of-the art clinic located in Annandale.

We are currently seeking an enthusiastic, experienced professional with both front and back office experience for our Billing and Accounts Specialist position who will ensure an exceptional experience for our families as well as safeguard the practice’s revenue and cash flow.

  • Provides an exceptional family experience to the children and families we serve.
  • Maintains a clean and welcoming clinic environment.
  • Serves as a liaison between the practice and insurance companies, patients and third-party payers in regards to eligibility, coverage and benefits.
  • Performs insurance verifications to determine eligibility, benefit coverage and family cost share responsibility for visits.
  • Calculates patient financial responsibility using insurance verification information, payer contracts and/or self-pay guidelines.
  • Obtains and maintains authorizations to ensure they remain current.
  • Effectively communicates to and answers client questions regarding insurance benefit coverage and billing inquires.
  • Manages incoming referrals and documents from our Early Intervention funding source, uploads information into the practice’s EMR system and communicates with contractors.
  • Posts insurance payments into the practice electronic medical record and reconciles client account ledgers.
  • Pre-scrubs claims for errors prior to submission to practice clearinghouse.
  • Follows up on outstanding claims and files appeals, as needed.
  • Investigates billing inquiries from families and communicates both verbally and in writing resolutions to settle account balances.
  • Ensures consistent communication and collaboration with the Care Coordinator and management team to ensure accuracy of payments being collected at the time of service.
  • Provides coverage for the front desk as needed, answering calls and scheduling appointments.
  • Data entry into the practice’s EMR system.
  • Maintain confidentiality and privacy of patients according to HIPAA guidelines.
  • Run weekly and monthly reports, analyze data and develop an action plan to improve revenue and cash flow.
  • Assists with special projects.
  • All other duties as assigned.

Required Qualifications:
  • AA Degree or higher or a certificate in Medical Billing and Coding.
  • Minimum 3 years of experience with medical billing (preferably therapy billing), insurance verifications, authorizations and accounts receivable for a medical/therapy practice.
  • Proficient in modern office technology including Electronic Medical Records.
  • Must be able to read and understand online eligibility/benefit information and EOBs/Remittance Advice.
  • Working knowledge and understanding of insurance verifications and authorization requirements.
  • Strong conflict resolution and customer service skills.
  • Strong time management and organizational skills; ability to handle multiple concurrent assignments, with a high degree of efficiency and accuracy.
  • Decisiveness with a strong ability to independently problem solve.
  • Knowledge and understanding of laws and ethics related to health insurance billing and the Health Insurance Portability and Accountability Act (HIPAA). 
  • Possess an ownership attitude of job responsibilities.
  • Ability to quickly learn and understand the day-to-day operations of the position.
  • Proficient with basic computer programs (Microsoft Office Word, Excel, Powerpoint, Windows 10, Outlook, etc.).
  • Excellent analytical, interpersonal, and oral/written communication skills.
  • Proven ability to work with insurance companies and maintain high standards of professionalism.
  • Must have reliable transportation.
  • Successful completion of a Background Check.
